Privacy Policy

This policy explains what personal information we collect, why we collect it and what we do with it. We are committed to protecting your privacy and handling your information openly.

1. Who we are

Summit Table Co is a sole trader business run by Hazel Moran, trading as Summit Table Co. We are the data controller for the information you give us.

2. What we collect

  • Your name and contact details, such as email address and phone number

  • Booking details, such as your group size, dates and the package you want

  • Dietary requirements, allergies and intolerances

  • Any other information you give us in our forms or by email

3. How we collect it

We collect information directly from you, when you fill in a form on our website, send us an email or speak to us. Our forms are hosted by Typeform, who process this information on our behalf.
Why we use it and our lawful basis:

  • To take and manage your booking, and to provide your food and accommodation. Our basis is that it is necessary to perform our contract with you.

  • To reply to your enquiries and communicate with you about your booking. Our basis is our legitimate interest in running the business and responding to you.

  • To keep financial and business records. Our basis is our legal obligation, for example tax rules.

  • To cater safely for your dietary needs and allergies, and to use any photos, we rely on your consent (see sections 5 and 9).

4. Allergies and dietary information

The information you give us about allergies, intolerances and dietary needs is health information, which the law treats as a special category needing extra care.

We collect it only with your consent, we use it only to prepare your food safely and we do not use it for anything else. You can withdraw your consent at any time, though we may then be unable to cater for you safely.

5. Who we share it with

We do not sell, rent or trade your information. We only share it where we need to in order to provide your booking, including:

  • Typeform, who host our forms

  • Accommodation providers, such as an Airbnb host, where a booking is made for your stay (normally just the lead guest's name)

  • Your guide or activity provider, where we need to coordinate details of your trip

  • Our accountant or HMRC, where required for our records or by law

6. Where your information is stored

Your information is stored on our own devices and accounts and with the providers above. Some of these, such as Typeform and our email provider, may store data outside the UK. Where they do, they are required to protect it to UK standards.

7. How long we keep it

We keep booking and financial records for up to six years, to meet tax and legal requirements. We delete dietary and allergy information soon after your booking is complete, as we no longer need it.

8. Your rights

Under UK data protection law you have the right to:

  • Ask what information we hold about you

  • Ask us to correct anything that is wrong

  • Ask us to delete your information, where we do not have to keep it

  • Withdraw consent where we relied on it

  • Object to or restrict how we use it

9. Cookies

Our website may use cookies to help it work and to understand how it is used. You can control cookies through your browser settings. 

10. Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

11.Changes to this policy

We may update this policy from time to time. The current version will always be on our website.
